Out of Office

Many email clients provide the option of creating rules to address email before it comes to your inbox. Due to the operation of State Bar e-lists you may be getting Out of Office messages that you wish to filter out from your email client.

Note: The following are special conditions you may wish to take into consideration before creating a rule for a State Bar e-list.

  • If you rarely submit postings or responses to a particular e-list, you may not wish to create a rule.
  • If you belong to a small e-list that is used for work on timely projects (such as board or committee e-lists), you may actually want to receive out of office messages.
  • If you are not concerned about the phrase "out of office" appearing in a valid subject

There is a wide variety of email software that is used by our members. To provide an example of the logic one may use to create a rule, we present the following MS Outlook 2007 settings for blocking the out-of-office messages that are generated by individual State Bar e-lists. It is important to note that the actual settings for creating rules for all other email clients, such as Gmail or Hotmail, will be different. While this will not stop all Out of Office messages, it should stop most of them.

Whitelist Instructions

With the increasing prevalence of spam filters, many web-based email services (e.g., Gmail, Yahoo Mail) and email applications (e.g., Microsoft Outlook, Mozilla Thunderbird) automatically filter emails sent to multiple recipients. Unfortunately, these filters may block legitimate emails, including newsletters and important communications. To ensure our messages reach your inbox, follow these steps:

1. Add Our Email Addresses to Your Contacts or Address Book

Most email systems prioritize messages from your contacts. To ensure our emails are recognized as safe:

    • Add email addresses to your contacts or address book (e.g. listname@elists.wisbar.org)

    • If you use both web-based email and email software (e.g., Gmail forwarded to Outlook), add these addresses in both systems.

2. Add Our Email Addresses to Your Safe Senders List

Modern email platforms often include a "safe senders" or "allowlist" feature:

    • Locate the safe senders or allowlist settings in your email platform (search for "safe senders" in the help section if unsure).
    • Add our email addresses (e.g. listname@elists.wisbar.org) to this list.

For extremely detailed instructions on adding safe senders, visit EduBirdie.com. They have posted detailed instructions for adding safe senders to many common email programs or services.

3. Whitelist Our Domains and IP Addresses

A whitelist (or allowlist) ensures that emails from specific domains or addresses are not marked as spam. This step is typically managed by your IT staff or email administrator.

    • Provide your administrator with the following information to whitelist the State Bar:
      • Domains:wisbar.org, elists.wisbar.org, mktg.wisbar.org
      • IP Addresses:199.91.248.195, 199.91.248.196

If you manage your own email filters, consult your email provider’s documentation for instructions on adding domains and IP addresses to your whitelist.

If your office uses Postini, you may need to do this yourself. Ask your technical staff if you need assistance with this web tool.

4. If You No Longer Wish to Receive Our Emails

If you no longer wish to receive emails from our e-lists, please use the "unsubscribe" link provided in the email footer. Marking emails as spam can negatively impact other members by preventing them from receiving important communications.

Additional Notes for Gmail Users

    • Move emails incorrectly marked as spam back to your inbox to train Gmail’s filters.
    • Mark such emails as "Not Spam" to help prevent future filtering issues.

By taking these simple actions, you will resolve most causes of not receiving your e-list mail. We thank you for your time and effort and hope that you will continue to enjoy our discussion groups, newsletters and notices.
